Conference and pharma event staff
Conference staff run the registration desks, speaker rooms and sessions that keep an event on schedule. As a conference staffing agency in London, we supply calm, well-briefed teams.
Conferences and congresses run to the minute, and delegates notice every queue. We match conference staff to the audience, brief them on the programme and the escalation route, and keep a named manager available throughout.
For pharma and medical events we provide event staff, not medical or regulatory advice. Your compliance team sets the guidance, and we turn it into a practical briefing.

Planning notes.
- 01
Plan for the arrival rush
Registration needs enough people for the busiest thirty minutes, plus a walk-up position so pre-registered delegates are not held up.
- 02
Get system access early
We train the team on your registration platform and need access early enough to practise before the doors open.
- 03
Set role limits in writing
Staff know which conversations they handle and which go to your authorised representative. Product, clinical and pricing questions always go to your people.
- 04
Agree the wrap report
Attendance, hours and any scan or capture figures, in your reporting format. For stands we add the questions delegates asked most.
A day on the programme.
07:00 Arrival and set-up
The team checks uniform, prepares the desks, loads delegate lists and walks through the running order in the actual event spaces.
08:00 Registration
This is the busiest ninety minutes of the day, so the desk is fully staffed for the peak, with a walk-up position alongside.
09:30 Session support
Runners take care of doors, headcounts, roving microphones, timing cards and speaker changeovers.
12:30 Delegate support
The team handles wayfinding, breakouts, dietary requirements, lost badges and the small questions that would otherwise reach you.
17:00 Close and wrap
We clear the desks, count the kit back and send attendance and scan figures in your reporting format.
Briefing and conduct.
- Your approved guidance. We brief the team on the instructions supplied by your compliance or medical team.
- Escalation routes. Safety, product, clinical, pricing and press queries go to the contact named in the briefing.
- Approved materials. The briefing covers what may be handed out, where and by whom.
- Data handling. Registration and delegate information stays within the systems agreed for the event.
FAQs.
Do you have staff with pharma event experience?
Yes, and we pick for it. If the right people are not available for your dates, we will tell you.
Can your staff discuss our products?
No, and they are briefed not to. They handle welcome, wayfinding, data capture and logistics, and pass product, clinical and pricing questions to your own people.
Can you cover multiple languages?
Yes. Tell us the delegate mix and we will build the team around it. We have supplied Spanish-speaking hostesses for bank meetings in London since 2024.
Can you meet our supplier requirements?
Yes. We carry employers’ liability and public liability insurance and can supply the paperwork your procurement team needs.
