Conference event staff: who does what?

Conferences run to the minute, so everyone on the team needs a clear job. Here is who does what.

A conference needs fewer kinds of staff than a festival, but each one matters more. Delegates arrive in a rush, sessions start on time and speakers need to be in the right room.

The core roles

Plan for the arrival peak

Most delegates arrive in a short window before the opening session. Staff the registration desk for that window, then move people into rooms and the exhibition once it clears.

Conference staff and event hosts at a corporate summit

From registration to delegate care

For the Popcultr Marketing Summit in London we ran a full registration operation: badge collection, walk-ups, delegate queries and stand support. For an international congress at Allianz MiCo in Milan we provided delegate greeting and transport coordination.

Pharma and medical events

We supply the team and your compliance people set the rules. We turn their guidance into a briefing staff can follow, and we don’t give medical or regulatory advice ourselves.

Checklist

  • Registration hosts for the opening rush and walk-ups
  • Session runners for doors, microphones and timings
  • Stand staff where there is an exhibition
  • Multilingual hosts if delegates travel in
  • A named manager and a clear escalation route

Common questions

How many registration hosts does a conference need?

Plan for the arrival peak, not the whole day. Most delegates arrive in a short window before the opening session, so that is when the desk needs most people.

Do you staff pharma and medical events?

Yes. We supply the event staff and brief them to your compliance guidance.

Can conference staff look after international delegates?

Yes. For an international congress at Allianz MiCo in Milan we provided delegate greeting and transport coordination.

Send us the programme and expected numbers for your conference and we’ll suggest the team.
