Airport greeters meet arriving guests, often holding a sign, and walk them to their transfer. Transport coordinators keep flights, drivers and vehicles lined up so nobody waits. For international events they are the first face of the whole trip.
What the job involves
- Tracking flights and arrival times
- Meeting guests at arrivals, by name
- Walking guests to the right driver or vehicle
- Rebooking transfers when flights are late
- Keeping the event team updated
One greeter per arrival point
Airports are big and guests come out of different doors. At Dallas Fort Worth Airport in Texas we provided five transport hosts, one per terminal, meeting arriving guests and getting them to their transfers.
Local teams abroad
For events outside the UK we recruit locally, through the same three steps as in London. In Milan we provided an onsite greeter and transport coordinator for an international congress at Allianz MiCo.

Transfers can be part of the experience. For the Call of Duty: Warzone Mobile Global Summit, creators flown into London were looked after from the airport to their hotel, then toured the city by Routemaster.
Plan for delays
Flights run late, so agree before the day who can rebook a vehicle, who the guest calls if they cannot find anyone, and how the coordinator tells the event team.
Checklist
- Flight list with names and arrival times
- One greeter per terminal or arrival point
- Driver and vehicle details for every transfer
- A plan for delays and missed connections
- Languages for guests arriving from abroad
